Case Study 01 — Shared Arrangements Toolkit

Writing Down a Care Rota That Everyone Could Follow

The Situation

An adult child and two siblings needed to divide the weekly care of an elderly parent across three households in the Klang Valley. Previous verbal arrangements had broken down twice in six months, leading to missed handovers and a great deal of family friction.

What Hearthline Did

Four documentation appointments over eight weeks. The three siblings worked through a printed template set covering weekly rotas, medical appointment handling, grocery cost sharing, and an emergency contact protocol. The coordinator prompted and kept time; the siblings wrote everything down themselves.

The Outcome

A printed binder and digital template set covering all four areas, reviewed and agreed by all three siblings at the final session. A term review sheet was completed three months later with only two minor adjustments. The family reports that the handovers have run without incident since.

Assembling Twenty Years of Household Records for a Solicitor

The Situation

Two adult children needed to organise their late parents' household paperwork — spanning approximately twenty years — before an appointment with a family solicitor. The paperwork was spread across three filing cabinets, two sets of online accounts, and a box of unsorted documents.

What Hearthline Did

A three-month records programme. Month one: sorting and indexing. Month two: building a dated timeline from the records and preparing a summary sheet. Month three: final review, bound pack production, and digital mirror setup on the family's own external drive. Three review meetings, one per month.

The Outcome

An indexed register of 47 document categories, a 12-page dated household timeline, and a four-page neutral summary sheet. The solicitor was able to work from the pack directly without requesting additional documents. The digital mirror is stored on a family-owned drive; no files remain with Hearthline.
